Inventories

This page allows you to create an inventory of assets that a user would like to survey. When the Asset Monitor is selected, by default you access the Inventories tab. All existing inventories are listed with the owner, building, date created and number of items in the inventory.

Create New Inventory

To create a new inventory click New Inventory to launch the Edit Asset Inventory window. Complete the inventory details and click Save to close the window and create the inventory.

Edit Inventory

To edit an existing inventory, click on the inventory number to launch the Edit Asset Inventory window, the details can then be updated and clicking Save will close the window and update the inventory.

Delete Inventory

An inventory can be deleted by selecting the inventory and clicking Delete.

Loading items into inventory

To load items into an inventory double click the inventory which switches to the Items tab, displaying the selected inventory at the top right corner of the window.

An inventory is created off-line as a CSV file. This is formatted such that the 1st column initiates by listing a particular location, followed by the codes of assets assigned to that location (one asset code at each subsequent row). After all the assets for that location are listed, the next location code and its corresponding assets are listed in the same order and so forth. The 2nd column lists the asset code type and the third column stores the date surveyed. Take a look at the following sample;
The highlighted codes at column 1 are location codes therefore, the 1st location has 1 asset associated to it, while the 2nd location has 9 assets listed and the 3rd location has 2 assets.
To upload the CSV file click Browse and select the CSV file. This will automatically upload the CSV.

You can download a sample inventory showing the current floor inventory by clicking on the Search tab, selecting the floor from the Location filter and clicking Sample Inventory CSV.

When the file is uploaded it will show all rows as separate items. Clicking Lookup Inventory Items will review the items and categorise them correctly.

Viewing Inventories

The view of the assets loaded can be changed using the View drop down;

  • Asset summary (Default view)
    This shows the survey name, the floor code, asset type and the status. The status will be To Check before lookup inventory items is run, after they will be categorised as No Chng (No Change), Moves, Inserts or Errors. (see previous screenshot)
  • Location Details
    Shows the survey name, code, the scan code and date taken. The other fields are blank until the Lookup Inventory Items is run, after which they are populated with the type of object, the location code, asset code (if applicable) and the status. Locations show a status of LOCN

  • Missing Items
    Lists any reported missing items at any particular location and date surveyed.
  • Unsurveyed Locations
    Lists all unsurveyed locations.

Restacking an Inventory

When all assets have been looked up and their status confirmed you can then restack the survey to update the allocation of the assets and locations. Select the status of items that you want to restack. You can restack any or all of Moves, Inserts and Deletes. Deletes will remove any assets at a surveyed location that was not captured in the survey. Once the required choices have been selected click Restack Items to restack the inventory and update the assets. Once the assets have been moved they will change their categorisation to No Chng (No Change) as the assets are now in the correct location and no longer need moving.

Managing Assets

To manage the locations of assets, access the Search tab of the Asset Monitor module.
Enter details to find the asset you are searching for. Complete the Search Criteria with as many details known, using the search to locate a department if required. The search will also return all partial matches. The result can be filtered by the location filter. Unallocated assets will only show up if the estate is set to ‘All Estates’.
You can select records from your search result and Add to Asset Bus.

To allocate assets from your bus to a floor, access the Floor Plans tab. You can select the floor plan to display using the Location Filter. Once a plan has been selected and loaded you can customise the view and navigate the drawings.


In the header, you can select filters to alter certain details shown on the plan. When People (filter) is marked, they will either show a green tick icon to signify that the particular, occupied position has some asset/s allocated to it or a red x icon if no assets are present.

Selecting a location shows the location details and the assets allocated in the info bubble. If the info bubble is not visible click info bubble to show it.

Loading and Unloading assets from Bus

To add assets to a location, select the location and then tick the asset/s to be added from the Bus. Clicking Unload will then unload the selected assets to the corresponding location.

To move assets around, select a particular location from the floor plan, this lists all the assets currently allocated to that location. Mark the assets that needs to be moved and click Load to add the selected assets to the bus.

To add the assets from the bus Unload them as described above;
